Global lists from The Financial Times or QS can influence where students choose to apply, while accreditations from AACSB, EQUIS and AMBA signal quality and a commitment to improvement. Both are high-stakes exercises and both demand a mountain of data. Too often, they’re managed as entirely separate projects. That separation comes at a cost. Schools end up duplicating work, juggling inconsistent metrics and spending countless hours chasing numbers across disconnected systems. For institutions with limited data infrastructure, the strain can be especially heavy. The challenge is clear: how can a school meet the demands of both rankings and accreditations without draining staff time or drowning in spreadsheets? One answer is to rethink the process entirely. A single, AI-powered data catalog, designed to serve both purposes, could provide one reliable source of truth. It would cut repetition, improve accuracy and offer the kind of insight that supports both compliance and strategy. THE PROBLEM: FRAGMENTATION & DUPLICATION Most schools run into the same stumbling blocks: Reentering the same data in multiple submissions and systems Clashing definitions; for example, how faculty qualifications or graduate employment rates are measured Disconnected tools and databases (CRM, SIS, LMS, alumni platforms) Version control headaches that lead to errors Overstretched teams, particularly where no dedicated data function exists Rankings and accreditations have different end goals. Each organization applies distinct criteria to the same data: Financial Times (FT): Counts faculty publications in top journals (FT50), but only if the faculty were full-time and affiliated at the time. QS Rankings: Measures citation counts and research reputation globally; emphasis on Scopus-indexed outputs. AACSB Accreditation: Uses all peer-reviewed outputs to determine AQ/PQ faculty status, regardless of affiliation timing. EQUIS Accreditation: Includes only research from faculty formally affiliated with the school at the time of publication. Insight: The same article may count for AACSB and QS, appear in FT50, but be excluded from EQUIS if affiliation criteria aren’t met. AI’s Role in Harmonizing Research Data An AI-enabled data catalog can: Tag research outputs by author, affiliation period, and journal ranking Map articles to the criteria for each framework Flag exceptions automatically (e.g., affiliation mismatches) ➡ Result: Schools avoid misreporting, reduce manual tracking, and ensure consistency across submissions. The Opportunity: An AI-Powered Unified Data Catalog AI can streamline the entire process: Automated Data Extraction and Cleaning: Pull data from internal systems and unstructured formats (e.g., PDFs, spreadsheets, emails). Example: AI reconciles different definitions of “international faculty” across QS and EQUIS, ensuring consistent reporting. Use AI to produce resources which inform stakeholders about how their data (or data about themselves) will be used for the different reporting functions; this increases ownership and confidence in external submissions. This could result in the production of a metrics dashboard, to be updated when methodologies shift over time. Dynamic Data Catalog with Metadata: Log definitions, sources, lineage, and usage. Example: AI supports in creating a data logic for rankings and accreditations based on existing data structures and content. AI suggests alternative data collection options where data does not match accreditation or ranking requirements well. Scenario Planning and Simulation: Simulate changes like increasing international faculty. Example: AI models predict how hiring two different full-time faculty would impact AACSB ratios and FT research performance. Conversational Interfaces: Allow non-technical staff to query data with natural language. Example: A program director asks, “How many graduates rankings from the MSc Finance program are working in London?” and receives an instant, accurate response with context, including how the statistic will be used for rankings or accreditations. ➡ Result: Stakeholders have access to a catalogue which supports increased accuracy, transparency, and strategy in their work with data for accreditations and rankings. AI IN ACTION: TANGIBLE USE CASES FOR RANKINGS & ACCREDITATIONS To move from concept to reality, here are specific examples of how AI transforms key data processes: Faculty Qualification Classification AI scans CVs and publications to auto-classify faculty. Example: Dr. Smith is flagged as PQ due to recent consulting work, even without a recent publication. Gaps in faculty CVs/stored information are flagged and data collection processes improved to support a more comprehensive dataset on faculty activity without increasing demands on faculty time to manually report information. Curriculum Mapping and Assurance of Learning AI analyzes syllabi to ensure alignment with learning outcomes. Example: A marketing course is flagged for missing ethical decision-making content required by the School’s commitment to AACSB. Using AACSB Standards and process guides as sources, the AI suggests a solution which supports better alignment with both the School’s teaching and learning strategy as well as the external body’s requirements. Diversity and Inclusion Metrics AI aggregates demographic data to monitor diversity. Example: AI produces top-level, dynamic reporting insights to support ongoing understanding of performance in the years between re-accreditation reviews. Senior stakeholders can monitor progress against accreditation or rankings performance goals, which can also be used to attract top-tier faculty and students at the same time. Narrative Analysis for Accreditation Reports AI drafts summaries and submission drafts from structured data and interviews during the report-writing stage. Example: A self-assessment section on faculty development is auto-generated from HR records and feedback forms. This is then processed using accreditation body- or School-approved AI prompts for each Standard to produce a draft which reflects stakeholder perspectives, aligns with the School’s narrative across the document, remains consistent in style, whilst continuing to put stakeholder voices at the forefront of the submission. BUILDING THE UNIFIED FRAMEWORK: A PRACTICAL ROADMAP Creating an AI-powered data catalog may sound ambitious, but it can be broken down into manageable, actionable steps. Below is a step-by-step guide to help institutions — especially those with limited technical resources — move from fragmented data practices to a unified, intelligent system. Step 1: Audit Your Current Processes Goal: Understand what data you collect, where it lives, and how it’s used. Actions: Identify all data sources used for rankings and accreditations (e.g., HR systems, alumni databases, SIS, LMS). List all recurring submissions (e.g., FT, QS, AACSB, EQUIS) and their data requirements. Interview stakeholders (e.g., program directors, accreditation leads) to understand pain points and manual processes. Document overlaps and inconsistencies in definitions (e.g., “international faculty” or “graduate employment”). Output: A comprehensive map of your current data landscape and reporting workflows. Step 2: Centralize Core Data Goal: Create a single repository where key data can be accessed and managed. Actions: Choose a central platform (e.g., a cloud-based database, data warehouse, or even a well-structured SharePoint site). Integrate key systems (CRM, SIS, HR, LMS) using APIs or scheduled data exports. Ensure data is cleaned and standardized (e.g., consistent naming conventions, date formats). Output: A centralized, structured dataset that serves as the foundation for AI processing. Step 3: Define Shared Metrics and Metadata Goal: Align definitions across frameworks and ensure transparency. Actions: Create a data dictionary that defines each metric (e.g., AQ faculty, FT50 publications, graduate salary). Include metadata such as source system, update frequency, and usage context. Use tagging to indicate which metrics are used in which frameworks. Output: A living document or dashboard that clarifies how data is defined and used across submissions. Step 4: Use Off-the-Shelf AI Tools (with Enterprise Licenses for secure data processing) Goal: Automate data processing without needing custom development of AI tools. Actions: Use existing AI tools for: Data extraction (e.g., OCR for PDFs, NLP for CVs and syllabi) Classification (e.g., AQ/PQ faculty status) Matching (e.g., alumni employment data from LinkedIn) Narrative generation (e.g., drafting self-assessment reports) Explore platforms like Microsoft Power BI with AI features, Tableau with Einstein AI, or Google Cloud AutoML. Output: Automated workflows that reduce manual effort and improve accuracy. Step 5: Pilot and Scale Goal: Test the system with a small dataset or submission before full rollout. Actions: Choose one ranking or accreditation submission as a pilot (e.g., AACSB faculty classification). Run the process end-to-end using the AI-powered catalog. Collect feedback from users and refine the system. Gradually expand to other frameworks and data types. Output: A validated system with proven benefits, ready for broader adoption. Step 6: Train and Empower Staff Goal: Ensure staff can use the system confidently and effectively. Actions: Provide training on how to query the system using natural language or dashboards. It becomes the strategic backbone for decisionmaking and institutional transparency. By aligning data for both rankings and accreditations, schools shift from chasing deadlines to building insight and that insight doesn’t have to stay locked away with analysts or leadership. With the right architecture, the same database can connect to a conversational AI bot or smart dashboard, giving staff across departments realtime access to performance metrics, from faculty qualifications to graduate outcomes. Empowering staff and recognizing progress Nontechnical staff can query the system in plain language. Department heads and deans can monitor progress over time. It helps the entire institution move in alignment, with clarity about where it stands, where it’s heading and which actions matter most. Ultimately, the more intelligently we manage our data, the better positioned we are to serve our students, improve quality and fulfill our mission. For schools without centralized IT or analytics teams, AI offers a lifeline. It turns complexity into clarity, effort into insight and siloed knowledge into shared momentum.
